LIBRARY EXPANSION STUDY COMMITTEE
REGULAR MEETING
November 5, 2008
Chairman Bill Kennedy called the regular meeting of the Library Expansion Study Committee to order at 7:04 p.m.
Present: Bill Kennedy, Linda Viers, Gerard Smyth, Del Shilkret, and Roger Hernsdorf
Others present: Joan Fox, Lynn Lochhead, and Evie Caranchini
There was no public comment.
ON A MOTION by D. Shilkret, seconded by G. Smyth, the Committee voted unanimously (5-0-0) to approve the minutes of the regular meeting of October 15, 2008 as presented.
Chairman Kennedy received a note from Bill Regan, Chairman Tri-Town Cable TV Government Access Committee, a copy of which was provided to all members. Mr. Regan asked the study committee to consider adding 2,500 sq. ft. of space within the new library, for studio space for GCTV. This space would allow for locally produced programs and provide necessary storage space for equipment. There was discussion on this matter, but the consensus seemed to be that the library is not the best place for this. It is thought that GCTV is not a town entity and there probably would not be any specific funding available to add this area for GCTV. The sq. footage being proposed is all needed for library space.
- Chairman Kennedy reported he recently spoke with two architect firms regarding the library addition and a few architects have come to look at the library.
- Chairman Kennedy printed a corrected rating sheet and distributed to members.
- The question sheet is completed.
- The committee will need space plan needs in the near future. At least rough stack sq. footage. Update space-planning guide – the two-page document of initial thoughts, which will be available to architects.
- A 10,00 sq. ft. addition should be the goal. Projections should be for adequate space through 2028, keeping in mind growth for the collection, plus meeting room space.
- J. Fox’s report, regarding space needs using the state formula, should be ready by December 3rd. L. Viers will work with Joan on this report.
Once members receive the architect reports and review them, they should each create a list of their top 10 companies to be reviewed by the study committee.
Miscellaneous Business:
The Board of Selectmen held a workshop meeting on November 3rd. The Granby Athletic Field Long-range Advisory Committee (GAFLAC) presented their findings. The Salmon Brook Park Facility Building Committee had previously presented their findings, but gave a brief report. The Storage and Vehicle Wash Bay Committee also previously presented their findings, and also gave a brief report. G. Smyth attended the meeting and reported that the committee’s reports were thorough and all seemed to have phases when proposed work could be done. The cost of the projects was surprisingly high, but these are studies of what might be done, not necessarily what will be done.
Roger Hernsdorf explained that now this information will be reviewed by Capital Priority Program Advisory Committee (CPPAC). The library expansion project will be kept in mind at the CPPAC meeting. He also commented that as costs drop off from previous projects, other come on line.
This committee needs to figure out how to get the most realistic sq. footage for the best dollar amount. All available grants will be looked into, to see what might be beneficial to this project.
L. Lochhead asked if there is any more information regarding the “Going Green” seminar on December 4th, 9:00 a.m. to 5:00 p.m. in Hartford. D. Shilkret wrote a letter about the building study committee and wanting to incorporate “green” components. Four members have been registered for this meeting and any four can attend.
D. Shilkret reviewed a few questions with J. Fox regarding the report she is prepared.
He asked about the Teen Service desk, and Joan explained it’s expected to be used by staff. He asked what a shelf list catalog is – it’s small boxes of old card catalogs. They are arranged in order of book collection, by shelf and location.
The meeting and study room space – should be large rooms for meetings or one large multi-purpose room that can be divided when necessary. Also needed are work and study stations.
