LIBRARY EXPANSION STUDY COMMITTEE
REGULAR MEETING
November 19, 2008
Chairman Bill Kennedy called the regular meeting of the Library Expansion Study Committee to order at 7:00 p.m.
Present: Bill Kennedy, Linda Veirs, Gerard Smyth, Del Shilkret
Others present: Joan Fox, Lynn Lochhead
There was no public comment.
ON A MOTION by G. Smyth, seconded by D. Shilkret, the Committee voted unanimously (4-0-0) to approve the minutes of the regular meeting of November 5, 2008 with the following corrections:
·Correct spelling of Veirs (from Viers)
·2nd page, second to last sentence, should read “Marty Council”, not “Mary Council”
·Page 1, end of 1st full paragraph, insert after “…needed for library space” the following: “Chairman Kennedy will contact GCTV to discuss the issue further.”
Chairman Kennedy reported that 13 architects have submitted information regarding their experience and interest in the library expansion program. Mr. Kennedy asked the committee members to identify their top five candidates. After some discussion it was decided that three of the architects were common to everyone’s lists. Four others received favorable ratings from a large portion of the committee.
The short list of architects includes:
Kenyon and Cutler
DRA
Tuthill & Wells
Newman
Schoenhardt
JCJ
Jacunski & Humes
Committee members will contact references. At the next meeting on December 3, a final selection of no more than five firms will be made. These architects will be asked to make presentations before the committee on December 16 and 17.
The committee discussed whether or not to interview the contractors listed by the architects.
Linda Veirs stated that one of the biggest difficulties with the East Granby Library project involved the information technology contractors. She suggested that it would be good for the architect to have IT specialists on staff to have efficient coordination of IT installation.
Chairman Kennedy asked Joan Fox for a two-page program/space needs document. This will be ready by December 3 and will be sent to the architects selected for interview along with a cover letter and a list of questions. The committee wants to have this information ready to mail out on December 4. The architects selected for interview will receive a phone call on December 4 to inform them of the interview date and to let them know that a packet is in the mail.
Joan Fox asked for a contact person for the Design on the Fly people to reach while she is away. Bill Kennedy volunteered.

The next meeting is scheduled for Wednesday, December 3, at 7:00 p.m. in the Granby Public Library.
ON A MOTION by Del Shilkret, seconded by Gerry Smyth, the meeting was adjourned at 8:35 p.m.
