Granby Library Board Meeting Minutes
July 12, 2010
held at Granby Public Library

Call to order:  A quorum was present and the meeting was called to order at 7:32 p.m.

Members present:        Chairman Lynn Lochhead, Bob Donna, Carol Bressor, Dick Lydon, Pam Jones, and Lisa Blessis.  Judy Guarco arrived at 7:42 p.m.
Excused:  Judy Goff and Shawn Ball
Staff:  Joan Fox
Visitors:  Bobbie Sullivan and Bruce Sullivan

Minutes

The Board reviewed the meeting minutes of June 14, 2010.  

ON A MOTION by B. Donna, seconded by C. Bressor, the Board voted unanimously (6-0-0) to approve the minutes of the meeting of June 14, 2010 as presented.  

Public Comment:  There was none.

Library activities reported by Joan Fox:
  • The Humanities Council will host a series of four book discussions for the fall.  There will be an Italian theme.
  • The Granby Public Library has received a grant from the Hartford Foundation.  
  • Reduced hours were briefly discussed.  J. Fox reported on general comments from the public, most of which were understanding of the situation.  The new hours are posted at both libraries.  She did mention that the outside book drop now fills up very quickly on Saturday afternoons.  
Old Business

Cossitt Improvement Project:  Work is moving along.  Painting is being done, detail of the new bricks has been noticed, and stair work should be started soon.  J. Fox received a report from Jamie Klase, Director of Public Works and read it to the Board.  A question was asked as to the safety of the stored books.  Is there a dehumidifier in the storage unit?  Has any rain or moisture gotten in?  Bobbie Sullivan stated that the library would need a lot of cleaning before the books can be returned to the shelves.

Cossitt Improvement Fundraising:  C. Bressor created a draft letter for fundraising, which Chairman Lochhead read to the Board.  One suggestion was that a form be created to put at the bottom of the letter, to be mailed back with a donation.  It could have boxes for dollar amounts of $25, 50, 100, 250 and other and lines for name, address, phone number, and email address.  Also, maybe a line should be added that states - if you have already sent a donation, thank you.  A note that the library reopening is expected to be early this fall, would denote a timeframe that donations should be received by.  This letter will be mailed to North Granby residents only.  Businesses and organizations will be solicited if necessary.  C. Bressor will modify the letter and email it to the Board members.  If anyone has any further suggestions, please email Chairman Lochhead by Friday so that the letter can go to the printer.  Discussion ensued regarding if the funds raised are not used, what happens to that money?  Is it held by the town, for use at a later date, for work at Cossitt Library?  

Volunteer Recognition Tea Planning:  The date is set for Sunday, October 24, 2010 from 1:00 to 3:00 p.m.  

225 Celebration:  There will be a parade and fireworks on Saturday, October 1, 2011.  Chairman Lochhead asked the Board members to think about what roll the library could play in the parade or another event during the celebration.  Maybe a float in the parade would be a good idea.  

Fees to be Charged for Inter-Library Loans:  J. Fox reported that between 90 and 100 items are mailed out of state each year.  Because this is a pilot project, there is not much statistical information available yet.  It is estimated that between $400 and $500 a year is spent in postage, plus there is the expense of padded enveloped, tape, etc.  Due to the cost and time needed to run the project, the staff feels it might be best to discontinue this service.  There would still be a service available to patrons where if they wanted a book the library doesn’t have, they could pay a $9 charge to a “middle man” service to get the book.  

New Business

None.

There will be no meeting in August.  The next meeting will be September 13, 2010 at the Granby Public Library.  The October meeting will be October 18, 2010, which, due to the Columbus Day holiday, is the third Monday in October.

ON A MOTION by J. Guarco, seconded by L. Blessis, the Board voted unanimously (7-0-0) to adjourn the meeting at 8:35 p.m.
