October 18, 2010

Call to order: A quorum was present and the meeting was called to order at 7:35 p.m.
Members present: Chairman Lynn Lochhead, Robert Donna, Carol Bressor, Dick Lydon, Pam Jones, and Lisa Blessis. Judy Guarco arrived at 7:50 p.m.

Minutes
The Board reviewed the meeting minutes of September 13, 2010.
ON A MOTION by C. Bressor, seconded by D. Lydon, the Board voted unanimously (6-0-0) to approve the minutes of the meeting of September 13, 2010 as presented.
Public Comment: There was none.
Director’s Report:
Statistics for September Granby Cossitt Total
Circulation 10,021 607 10,628
Compared to the same quarter in 2009, there is a decline of 6,000 items borrowed from GPL, a direct result of reduced hours.

Funds received from lost books – (July, August, and September) $276.06
Library activities reported by Joan Fox:
- The VNA will be doing blood pressure screening on Friday mornings during November at the Granby Public Library.
- Mystery Alla Italiana discussion series is going well. The first two meetings have has 18 and 14 people in attendance.
- The Public Library and Cossitt Library have been offered a book discussion, at a reduced rate, through the Connecticut Humanities Council. This will be in January/February 2011. Two titles have been requested – The Tender Bar by J. R. Moehringer and Suite Francaise by Irene Nemirovsky. They’ll let us know which one is chosen.
The Girls Book Club has changed their meeting day to Tuesday.
The Teen Book Club is looking for new or returning members.
Cossitt Story Time is returning this fall.
- The libraries will be closed Thursday, November 11th for Veteran’s Day and Thursday through Saturday, November 25th – 27th for Thanksgiving.
Old Business
Cossitt Improvement Project: The renovation work is almost finished. Mrs. Sullivan reported there are still some punch list items to be taken care of. The front walkway needs to be extended around to the side of the building and there is talk of extending it all the way around the building. The Board discussed using stamped concrete, in a time period pattern, for the walkway instead of plain concrete. The additional cost was also discussed. It was stated that the project is currently $600 over budget. The question was asked if the walkways were included in the construction budget. It looks like the landscaping project won’t be done until the spring. A representative from the Friends of the Cossitt Library is encouraged to speak with James Klase, Director of Public Works to
coordinate new plantings. Also, it was thought to be best to make sure all the construction work, including the walkways and outside work, is completed before the new planting is done. Fire alarms in the children’s room need to be fixed. It was commented that the placement of fire alarms are ADA determined. The cold air return needs to be painted and the clock placement is being worked on. The purchase of a Book Drop box was discussed. It would be approximately a $2,000 purchase (plus shipping and handling charges).
Cossitt Improvement Fundraising: To date $9,858.93 has been raised. If $2,000 is used for the purchase of the Book Drop box, then possibly $6,500 could be contributed to the stamped concrete for the walkway. A determination needs to be made as to what area will have the walkways. What town funds might be available for the walkways? More information is needed before a decision can be made regarding how much money could be donated for this project.
Cossitt Opening Celebration: Chairman Lochhead reported she mailed out 95 invitations. They were mailed to contributors, town officials, Jim Lofink and Lucy Lindeyer from Holcomb Farm, The Hartford Foundation, builder, designer, etc. There is the potential for 200 people to attend, but more realistically about 80 to 100 are expected. First Selectman, John Adams will speak at 1:00 p.m. Cider and donuts will be served. The Cossitt Library Guest Book should be put out. Discussion ensued regarding making signs acknowledging and thanking those who participated in the renovation project. C. Bressor will create the wording and email her suggestions to the Board members.
The Board also discussed a way to recognize Holcomb Farm for their generosity in letting the library be housed in the Workshop Building during the renovation project. It was determined that books could be purchased for both libraries, possibly starting a children’s collection of books relating to farms and animals. Those who would like to contribute could specifically earmark donations for this collection. Bookplates acknowledging Holcomb Farm could be printed for these books. Mrs. Sullivan mentioned that The Friends of Cossitt Library made a donation to Holcomb Farm as a thank you for their generosity. Chairman Lochhead will draft a letter to Holcomb Farm explaining this idea. Hopefully, the letter will go out before the Open House.
ON A MOTION by J. Guarco, seconded by P. Jones, the Board voted unanimously (7-0-0) to approve the transfer of $600 to the town from the Granby Library Association Cossitt Project Fund for the project’s over budget expenses. This transfer can be made once documentation of the project’s expenses and income are provided to the Granby Library Association.
ON A MOTION by L. Blessis, seconded by D. Lydon, the Board voted unanimously (7-0-0) to use $300 from the Granby Library Board funds for the purchase of children’s farm books for the Granby Public Library and the Cossitt Library to seed the Holcomb Farm collection in each library.
Terms to Expire: In January 2011 the membership terms for Judy Goff, Lynn Lochhead, and Lisa Blessis will expire. L. Lochhead and J. Goff are requesting reappointment. L. Blessis has notified Chairman Lochhead that she will not seek reappointment.
New Business
Long Range Plan – will be addressed at a later date.
Budget Committee – is coming up. D. Lydon volunteered to be part of this committee.
Chairman Lochhead asked the Board members to attend the Open House on November 6th. She asked for help setting up, please arrive about 11:00 a.m., and for cleaning up after the event. Mr. Sullivan commented that he hoped the walkway could be done by then, for safety reasons. J. Fox will speak with James Klase regarding this matter.
The next meeting will be Monday, November 8, 2010 at the Granby Public Library.
