Granby Library Board Special Meeting Minutes
April 11, 2011
held at Granby Public Library

Call to order:  A quorum was present and the meeting was called to order at 6:07 p.m.

Members present:        Chairman Lynn Lochhead, Carol Bressor, Bob Donna, Dick Lydon, Shawn Ball, Pam Jones, and Judy Goff (arrived at 6:10 p.m.)

Minutes

The Board reviewed the meeting minutes of February 14, 2011 and March 16, 2011.  There is a correction to the March Minutes, that being the dates of Snapshot Day are April 13th at Granby Public Library and April 14th at Cossitt Library.

ON A MOTION by C. Bressor, seconded by B. Donna, the Board voted (5-0-1) to approve the minutes of the meetings of February 14, 2011 as presented and March 16, 2011 with the noted corrections.  P. Jones abstained.

Library activities reported by Joan Fox:
  • BookFlix – online picture books for children up to grade three.  February, 446 uses (includes staff training) and March 280 uses reported.
  • Job Now – no use for the month of February and 10 uses in March.  
  • Mango – a new language tutorial is coming.  Also, Pim – a children’s version  
  • The library has signed up with Connecticut Library Connection to offer e-books.  Matt Burch is working on this and finds this program to be easily accessible and understandable.  It was asked it Readers are available at the library and the answer was no, not at this time.  
  •  April 27th there will be a Raptors program at Cossitt Library.
  • April 27th – at 7:00 p.m. Peter Miller will be at Granby Public Library reading from his book of short stories, The Trip.  
  • Having Fun with Pyramids and Pharaohs was a program held on Saturday, April 9th.  It was a hands on program for grades three and up and was well attended.  
  • The libraries will be closed for the Easter holiday – Friday, April 22nd and Saturday, April 23rd.
Chairman Lochhead reported that the placement of tape on the stairs (for safety) at Cossitt Library should happen this week.  She has contacted the contractor regarding the concrete sidewalks at Cossitt Library and hopes to set a time to meet with him to discuss the plans.  A new sign for Cossitt Library is in the works and it will be a basic sign with changeable portions so that if the hours are changed, the sign can easily be changed too.  Donna Wix mentioned to Chairman Lochhead that the gutter over the entrance at Cossitt Library doesn’t seem to be draining very well.  It overflows and patrons entering the building during a rainstorm get wet.  Public Works will address this issue.
Old Business

Budget:  No cuts have been made to the library budget this year.  The 2011-12 budget includes Sunday hours for Granby Public Library, not by adding funds to the budget but by redistributing funds within the present budget.  

Board Vacancy:  There is one (R) vacancy as of January 2011.  

Long Range Plan Update:  The survey to be used on Snapshot Day was shown to the Board members.  This survey will be taken for one week, is color coded for each library and for after Snapshot Day, and there is a spot on the form for the date the survey was completed.  This survey has been designed for regular patrons.  Another survey for community groups has been created as well.  Noting a correction, which needs to be made, the word Services will be added to the title to read Library Services Survey – Community Groups.  This survey will be taken to local organizations, such as: Scout troops, PTO, Men’s and Women’s Senior Breakfast groups, YMCA, and the Lions Club.  

Volunteer Tea Planning:  The Tea will be on Sunday, May 1st, 1:00 – 3:00 p.m. at Cossitt Library.  S. Ball is arranging who will bring what.  Lemonade, goodies, table clothes, and sliced lemons, among other things, were all addressed.  Approximately 70 invitations have been extended.  Volunteers are encouraged to arrive early to help set up.  

New Business

Chairman Lochhead had a handout for the Board members - Goals and Objectives timeline for the Interim Long Range Plan.  Once the Board members agree this document is accurate, it will be shown to the Board of Selectmen for their approval.  This document shows the original goals from the Long Range Plan, which is ending in 2011.  The shaded areas show action during 2012, and what’s been done and what hasn’t been done yet.  In reviewing these goals and objectives the question was asked: When is a goal complete? and Does any goal ever really fall off?  
Board members, please review this document and be prepared to discuss it at the May meeting.


There will be a Long Range Plan meeting at 7:00 p.m. on Wednesday, April 27th at the Police Department Community Room.  

The next regular meeting will be Monday, May 9, 2011,7:30 p.m. at Granby Public Library.

ON A MOTION by B. Donna, seconded by C. Bressor, the Board voted unanimously (7-0-0) to adjourn the meeting at 7:02 p.m.
