Meeting Minutes
October 20, 2008
held at Cossitt Library
Call to order: A quorum was present and the meeting was called to order at 7:30 p.m.
Members present: Chairman Lynn Lochhead, Carol Bressor, Bob Donna, Judy Goff, Duncan Rowles, Shawn Ball, Dick Lydon, Lisa Blessis (arrived @ 7:34 p.m.) and Marty Council (arrived @ 7:46 p.m.)

Minutes
ON A MOTION by S. Ball, seconded by C. Bressor, the Board voted unanimously (7-0-0), to approve the minutes of the meeting of September 8, 2008, with one correction. The date of the Anne of Green Gables event is November 4th, not the 14th.
Public Comment: None.
Update From Library Expansion Study Committee
Chairman Bill Kennedy reported:
· A list of architects has been created.
· A list of 19 questions has been developed to ask architects at an interview. Also, an evaluation sheet with 10 – 11 characteristics, and multiple factors for scoring has been created.
· Letters to identified architects have been mailed out and there will be a legal notice in the Hartford Courant on October 23, 2008. Materials need to be submitted by November 10, 2008. The committee will review the material and select 4 to 5 firms to meet with.
· The committee feels a one story building addition is most practical and the library must remain open during the addition process.
· Hopefully, the interview process will take place during the month of December.
· No money has yet been approved for the architect fee or for any project work to be done. Funds will be requested once the committee has a better feel for what the cost will be.
· Once preliminary information for the addition has been obtained, a computer drawing will be asked for and a cost estimate.
· The committees next meetings will identify space needs, and sq. footage for meeting space, remembering storage in these areas for tables and chairs and access through an area other then the library.
· Grant money from the state is available for this project and will be applied for. This will be for construction and fixtures, networking needs, projectors, etc. Some of these items are actually required by the state.
· Hopefully by January 2009, the committee will have selected an architect.
Building Walk Through
J. Fox spoke with Lynn Stewart and she reported there is not much new to look at. The new windows leak when it rains and is windy. Public Works needs to be notified of this, and the contractor that installed the windows should be contacted to inquire about the warrantee. B. Sullivan said the fan on the furnace seems to run all the time. This should be looked into.
Fall Volunteer Tea
Sunday, October 26, 2008 at Cossitt Library, from 1:00 – 3:00 p.m. S. Ball reviewed her list. Who will bring what was discussed, including food, drinks, cups, napkins, silver tea set, flowers, tablecloths, etc. So far, Shawn has received 30 yes responses.

Joan Fox reported on miscellaneous items:
· Book Sales: GPL – earned a bit more than last year’s sales. Cossitt – earned a bit less than last year’s sales.
· The Lions Club has donated funds to purchase two new computers for the children’s room.
· Can-Due: collected nearly 500 items of food. Coordinated by A. Bleimeyer and R. Bennett, donations of bags were from Geisslers, Big Y, Stop and Shop, Windsor Bank, and Simsbury Bank. Local Girl Scout Troop counted and delivered food to the VNA. J. Fox read a thank you note from the VNA.
· Cuba Now: book discussion. Program leader was from CCSU. The Avon program was attended by 200 people.
· Escape from Slavery: book discussion talked about the plight of Sudanese refugees. Author appearance is Friday, October 24th at Granby high school.
· Cossitt Library will have a Cookbook sale on November 8th. There will be a poetry reading on November 18th.
· Anne of Green Gables Tea, November 4th. J. Fox reported that there are a few tickets left.
· Holiday Book Sale: December 6th, noon – 3 p.m. at Town Hall. Seven CT authors will be there. No credit cards; cash and check only.
· Youth Fair: R. Gilbert and D. Bird will represent the library at the Youth Fair on October 28th at the Senior/Youth Center.
· Tall Tales and Songs: Saturday, November 15th at the Granby Senior Center. Storyteller/Musicians Theresa Whitaker and Frank Schwartz will present an afternoon of stories, tales, songs, and fun. The Friends of the Granby Public Library are sponsoring this event.
· Robotics Demo: The Granby Red Blox Robotics team will give a Lego Robotics demonstration in the Children’s Room on Saturday, November 8th at 11:00 a.m.
Old Business
M. Council reported there was not a library article in the October Drummer because there was no room. The article will be in the November edition. He was asked to write articles for February, March, and April. There should be more to report by then.
Reappointments – Board members Carol Bressor, and Dick Lydon, will continue as members for another 3-year term. Duncan Rowles will not seek reappointment.
Internet Policy – All members were emailed the Department of Library Services Internet Use Policy Draft 9/8/08, for their review and comment. Under Confidentiality and Security – sentence two, change “access” to “accessed” and “release” to “enter”. Under General Rules and Information – paragraph eight, it should read – There is a per page charge for printing, which should be paid at the checkout desk. Under Responsibilities of Users – paragraph two, change “asked” to “expected”. Paragraph three, change “are” to “may be”. Once these changes have been made, the “Draft 9/8/08” in the title can be removed and the Policy can go into effect.
ON A MOTION by D. Rowles, seconded by D. Lydon, the Department of Library Services Internet Use Policy Draft 9/8/08, with corrections, is approved (8-0-0) for use.
2009 Meeting calendar - Chairman Lochhead passed out the meeting schedule for the 2009 calendar year. April’s meeting is scheduled to be held at the GPL, due to the budget meeting. October’s meeting will be on the 3rd Monday of that month due to the Columbus Day holiday.
CT Humanities Council Literature for a Lifetime approved discussion of Eat, Pray, Love by Elizabeth Gilbert. This book discussion will be held in the spring, in memory of Margaret Vastoff. CHC pays for the guest speaker fees, books, and printing of flyers. Local fee will be $150.

ON A MOTION by C. Bressor, seconded by D. Rowles the Board voted unanimously (8-0-0) to adjourn the meeting at 8:57 p.m.
The next meeting will be Monday, November 10, 2008, 7:30 p.m., at Granby Public Library.
