Meeting Minutes
November 10, 2008

Call to order: A quorum was present and the meeting was called to order at 7:30 p.m.

Minutes
ON A MOTION by C. Bressor, seconded by D. Lydon, the Board voted unanimously (5-0-0), to approve the minutes of the meeting of October 20, 2008, with the following corrections: Bobbie Sullivan noted that the windows leak. The title “Building Walk Through” should read “Cossitt Library Building Walk Through”. Also, minutes should reflect that the rain/water leaks were there before the new windows were installed. This is on ongoing problem.
Public Comment: None.

The walk through has been tabled to the December meeting.

Joan Fox reported on miscellaneous items:
- Four staff members, Robin Bennett, Holly Johnson, Warren Markey, and Lynn Stewart attended a CLASS conference. The CLASS conference is offered for library~paraprofessionals. This year it was held for the first time at Middlesex Community College. Each attended several workshops during the day as well as presentations by keynote and closing speakers.
- Rhonda Gilbert attended the CT State Library meeting, which addressed a statewide catalog system. It would create better cost and information sharing. A task force will be created next.
- Regarding the book Waiting for Snow in Havana by Carlos Eire, a high school Spanish teacher who is from Cuba and is also an evacuee, contacted J. Fox and asked if the library could donate their extra copies of the book to the high school. She would like her students to read it.
- Kevin Murphy has donated his collection of Agatha Christy books. Some of these are in better condition than the ones the library presently has, and will replace them.
- Cossitt Library is having a Cookbook sale November 8 – 21st. So far, there has been modest interest.
- Anne of Green Gables Tea on November 4th had about 60 people, of all ages, in attendance. This was in celebration of the 100th Anniversary of the book and was deemed a great success.
- “Farmington Valley One Book” discussion will be December 5th. No book has been chosen yet.
Building Report
L. Lochhead reported that several architects have dropped in to look at the library. Nine firms were sent letters asking them to provide information concerning their interest and experience involving library expansion. Eighteen additional firms requested the RFI and 13 reports were received. The committee is clarifying the amount of sq. footage to be required. It is thought that up to 10,000 sq. ft. will be the probable number. The information received will be reviewed by the committee members and the selected firms will be asked to make a presentation to the committee on December 16th or 17th. D. Lydon asked if these meetings are open to the public. L. Lochhead will look into this. Chairman Lochhead reported that Bill Kennedy received an Email from Bill Regan, Chairman of
the Tri-Town Cable TV Committee. Mr. Regan asked the study committee to consider making room, of approximately 2,500 sq. ft., for a studio for GCTV within the expanded library space. Although the space request seems rather large, the committee will take this request into consideration.
Mr. Kennedy will be asked to attend the December meeting to provide an update.
Old Business
The State Library will host a workshop regarding green construction for libraries. This will be an all day event on December 4, 2008 in Hartford. Four people are planning to attend, some of which are from the expansion committee. One question that this group will ask is how to keep the library open and functioning during the renovation process. They will also look into green construction ideas.
Marty Council will write three articles for the Drummer regarding the Library Expansion Study Committee. Chairman Lochhead asked the Board members to think of topics Marty can write about. The articles will be in the February, March, and April editions.
The Fall Tea was held on Sunday, October 26, 2008 at Cossitt Library. About 30 people attended. A thank you is extended to Shawn Ball and David Katz for a successful event. It’s a good idea to remember this weekend for future planning of this event.
The front steps of the Cossitt Library are in rough shape. They are unsightly and in need of repair. Public Works has been notified and J. Fox will ask for an update on the status of repairs or replacement of the stairs.

ON A MOTION by L. Blessis, seconded by C. Bressor the Board voted unanimously (5-0-0) to adjourn the meeting at 8:11 p.m.
The next meeting will be Monday, December 8, 2008, 7:30 p.m., at Granby Public Library.
