Granby Library Board Meeting Minutes
July 13, 2009

Call to order: A quorum was present and the meeting was called to order at 7:34 p.m.

Minutes
Upon reviewing the minutes of June 8, 2009 it was noted the next meeting is at Cossitt Library not Granby Public Library.
ON A MOTION by C. Bressor, seconded by D. Lydon, the Board voted (3-0-2), to approve the minutes of the meeting of June 8, 2009 with the above correction. B. Donna and S. Ball abstained.

Funds received from lost books (quarterly): $172.30 This equals about $850–$900 annually.
Director’s Report:
- Preliminary annual figures listed 170,099 items borrowed for the year. Granby and Cossitt numbers were both up from the previous year. The turnover rate was 2.5 at the Granby Library and 1.2 at Cossitt Library. There was discussion regarding books and DVD’s and the way they are borrowed.
- In June 55 people in the Unbook Club read Still Alice by Lisa Gerova. Reviews are posted online on the library website.
East Granby and Granby Libraries had a joint staff get together. This was held on a Friday after work and was a supper event. There was a speaker. J. Fox reported this was a great gathering and hopefully will be done again in the future.
Regarding the Long Range Plan Review, J. Fox said she reviewed the past minutes and found this was address at the January 2009 meeting. She will, however, review the plan over the summer and this should be calendared for review again in January 2010. The next plan should be started in 2011, for approval in December of that year, for 2012 – 2016.
- Jamie Klase, Director of Public Works had written a grant for The Hartford Foundation for improvement work to be done at Cossitt Library. This grant was approved for $125,000, which was less than was asked for. The next step will be to advertise for a contractor. Fund raising will need to be done for between $10,000 and $20,000. It is thought that the Friends of the Cossitt Library should head the fundraising efforts with help from the Friends of the Granby Public Library and the Granby Library Association. Because the Library Board is appointed, they can’t be involved in the fundraising, but they will certainly support the efforts. L. Lochhead will write letters to the Friends groups and she and J. Fox will speak with Ann Marie Reuter, Treasurer of Friends of Cossitt Library and who also serves on the Board of
the Granby Library Association, to initiate fundraising. J. Fox and Jamie Klase will meet with a representative of the Hartford Foundation to discuss a press release.
Old Business
Expansion Committee Update: L. Lochhead reported there is no status change at this time.
Board Vacancy: no volunteer has been found yet. This volunteer should be a Republican or an Unaffiliated voter.
New Business
Susan Regan, of GCTV, is starting a series of interviews, which will be called Granby Forum. She would like to set up an interview with the library representatives for September 18th. J. Fox and L. Lochhead will meet with her.
The annual Fall Tea, which is usually held in October, may need to be scheduled for a different date. It is likely that the construction at Cossitt Library will be started by then. Discussion included waiting to see if construction starts on time, possibly holding the tea in December when the library is decorated for the holidays, or in January after the holiday rush, or even in April in coordination with Volunteer Week. An article should be put in the Drummer noting the change in date. This should be addressed again at the September meeting.
Libratects (Librarians and Architects)– This is a state run series of meetings at libraries with recently completed construction. C. Bressor reported she and J. Fox attended the meeting at Simsbury Library. They found it to be very informative. It covered fundraising, volunteer interaction, coordination, attention to detail, and the organization of a Political Action Committee, which was formed just before the referendum. The Friends group underwrote the cost of the interior finishes, raising $1 million for this. There is another meeting in West Hartford in September that J. Fox and C. Bressor would like to attend.
Attendance – D. Lydon will update the attendance sheet from January 2008 through the present. Please remember to notify L. Lochhead prior to the meeting in order to be excused.
Seth Holcombe – L. Lochhead reported Mr. Holcombe’s death on July 9th. She spoke about his involvement with the Cossitt Library. Possibly, a program about horses or genealogy could be held in his honor.

There will be no meeting in August.
The next meeting will be Monday, September 14, 2009, 7:30 p.m., at Granby Public Library.
