YOUTH SERVICE BUREAU ADVISORY BOARD
Minutes
January 14, 2009

Present:        Teri Baber, Sarah Miltenberger, Aaron Moon, Linda Pollock, Shirley Ryan, Sue Sojka, Kyle Venn, Lisa Venn, Chief Dave Watkins, Mike Zanerzick

Staff Present:  KerryAnn Kielbasa, Director of Human Services

Absent: Capt. Kevin Bennett, Lisa Reinhardt, Liza Wetzel, Kay Woodford

Staff Absent:   Ingrid Helander

Chairman Baber called the meeting to order at 6:35 p.m.

APPROVAL OF MINUTES OF 10/8/08:

The minutes of 10/8/08 were reviewed.  ON A MOTION by Sarah Miltenberger, seconded by Linda Pollock, the minutes of 10/8/08 were approved as written.    

YAC REPORT:

Sarah Miltenberger gave the following report:

  • The dance in December made over $500 and over 1,000 canned goods were collected.  The dance was very successful and there was a lot of positive feedback.
  • The Granola for Good fundraiser made $1,000.  A check will be written to the family that had been identified to help pay medical bills for the 4 year old with A.T.  YAC is currently looking into a new recipient for this fundraiser.
  • YAC is meeting tonight for their potluck/Yankee swap, which had been postponed due to a snowstorm last month.
YOUTH COUNCIL REPORT:

In Ms. Helander’s absence, Ms. Kielbasa gave the following report:

  • There are 25 girls participating in WOW.  Some activities that are coming up are water aerobics and an African American drumming group will be coming to give a demonstration.
  • The BOW group has approximately 6 Middle School boys and is run by one of the interns.
  • The three interns are very busy and the fourth intern will be leaving in the next few weeks as she is finishing her hours.  Dan and Amanda work 10 hours per week.  Presently, there is a small waiting list of clients.   When that happens, East Granby residents are put on hold and Granby residents take priority.
  • YWOW has stopped and will begin again after the February break.
  • The Grandparents Breakfast will be held on April 22nd and we will need volunteers from the Board to help with this event.
DIRECTOR’S REPORT:

Ms. Kielbasa gave the following report:

  • The results of the SEARCH Institute survey should be in within 10-12 weeks of the test date.  There was a small glitch in the directions, which was corrected at the middle school but not at the high school.  The SEARCH Institute assured us the error was theirs and they would be able to compile the results.  
  • The budgets were due for next fiscal year.  The only change you will see is a shift in where the money is allocated for part-time staff.   The Town Manager asked for ways to cut expenses, which is difficult to do.  It will be recommended that the YSB institute a fee for clinical services.  This would also increase people’s commitment to keeping appointments.  This change would be effective July 1, 2009.
ON A MOTION by Kyle Venn, seconded by Shirley Ryan, all of the reports were accepted as given.

OLD BUSINESS

ON A MOTION by Lisa Venn, seconded by Linda Pollock, it was agreed to discuss options on how to disseminate the results of the SEARCH Institute survey to the community.

  • Ms. Kielbasa stressed the need to be careful not to do anything ahead of having the results.  The report will let us know what we’re doing well, where there are gaps, etc.
  • Sue Sojka stated our response needs to be clear and thorough.  We need to know how we’re going to respond to questions asked by the community and hold open meetings for the community.
  • Terri felt how the information is conveyed and who is present is important.  Invitations should be sent to community organizers.  She felt Dr. Kathy Havens may be a good resource.
  • Kyle suggested the website be used to disseminate information.  Ms. Kielbasa reported we will get electronic results to download on the website.
ON A MOTION by Lisa Venn, seconded by Shirley Ryan, it was agreed to table this discussion to the next meeting.

NEW BUSINESS

  • Youth Services will sponsor a parent support group for parents of children with special needs.  The group will begin Monday, January 26th and will be held the second and fourth Monday of the month.   
  • There will be forum at Farmington High School on Wednesday, January 28, 2009 at 7:00 p.m., “Is 21 the Answer?” regarding lowering the drinking age.
  • Teri distributed information on Robert’s Rules of Order and Chief Watkins briefly reviewed  the process.    ON A MOTION by Aaron Moon, seconded by Lisa Venn, it was agreed to accept Robert’s Rules as a business practice.
  • A variety show, “Granby Stands Up To Cancer”, will be held on Saturday, March 28, 2009 from 7:00 to 9:00 p.m. in the High School auditorium.  Brad Field will be the emcee and all proceeds will go to cancer research.   The Middle School is spearheading this event and they are looking for individuals of all ages to perform.
ADJOURNMENT

ON A MOTION by Lisa Venn and seconded by Sue Sojka, the meeting was adjourned at 7:35 p.m.

The next meeting will be held on Wednesday, February 11, 2009 at 6:30 p.m. in the Senior Center/Youth Services Building.
